Client Services Coordinator

Reports to: WACS Program Director
FLSAS Status: Non-Exempt

Position Summary:  Responsible for the coordination of all client services for the Women and Children Succeeding Program; responsible for Case Management for all WACS participants to include information and resources that assist with personal and educational growth and financial stability.  Responsible for the coordination of recruitment of new clients and cultivating new referral sources and assisting with community outreach.  Responsible for assessment and intake process for new clients and for assisting with the interview process.

Essential Functions and Responsibilities:

  • Works with Director and AIM staff to develop and meet Program goals and outcomes
  • Meets with potential new WACS participants for the assessment/intake process
  • Assist with recruiting new participants and coordinating with partnering agencies to take referrals
  • Conducts initial interviews for potential participants
  • Completes program overview and contract signing with new participants and WACS Director
  • Assist with Program Orientation and monthly Life Skills meetings for clients
  • Comprehensive Case Management for all WACS clients; maintains up-to-date case records in Apricot
  • Track changes in Employment and Education in Apricot for reporting purposes
  • Disseminates information daily/weekly/monthly to clients for the purpose of fulfilling WACS program requirements
  • Assist clients with SMART Goals: Educational, Personal, Professional, Financial; monitors and assess progress towards identified goals
  • Maintains office hours as approved and agreed upon by the WACS Program Director
  • Attends meetings, life skills trainings and additional AIM/WACS events that extend beyond AIM business hours
  • Maintains weekly Outlook calendar with events and meetings
  • Supports, promotes and adheres to AIM’s Code of Ethics

Non-Essential Functions: 

  • Perform other related duties as assigned by WACS Program Director

  • Outcomes as determined by WACS Program Director are reached or exceeded
  • SMART Goals and Objectives are created and tracked for all clients in Apricot
  • Agency and client goals drive all client services

Qualifications Required: 

  • Associate’s Degree or Bachelor’s Degree in Social Work, Human Services, Education, or related field; a combination of equivalent education and experience may be an acceptable substitute
  • Direct client case management experience is preferred
  • Excellent written and oral communication skills
  • Must have ability to interact effectively, both internally and externally to AIM, with people who are diverse in skills, cultures, and authority levels, interests, backgrounds, and economic status, to insure tasks are accomplished
  • Commitment to AIM’s mission and programs
  • Proficient in Microsoft Word, Microsoft Outlook, Excel, and Google
  • Strong organizational skills
  • Ability to work on events outside of regularly scheduled office hours
  • Ability to handle multiple tasks at the same time in a professional manner
  • Ability to prioritize work and complete work in timely fashion
  • Ability to work with minimal supervision and complete program goals
  • Ability to be open minded to new work ideas and methods
  • Understand and adhere to client confidentiality standards

Qualifications Desired:

  • Non-profit experience
  • Case Management experience

Physical Demands/Work Environment:

  • Ability to sit type and view a computer screen for long periods of time
  • Ability to lift a maximum of 20 lbs

Performance Standards:

    • Performance appraisal after introductory period of 90 days
    • Annual performance appraisal
    • Attainment of annual goals established between WACS Program Director and incumbent
